Stock Management

Storeship's inventory management services cover how your stock is tracked and controlled while it's held in our UK warehouses, not the software you view it through, and not the physical space it sits in. Stock levels adjust automatically as goods arrive, sell, are returned, or are dispatched, and we run checks that catch discrepancies before they become a problem for your business. Getting this wrong has real costs: a stockout loses you a sale outright, and a discrepancy left unchecked skews everything downstream, from when you reorder to what your own accounts show.

If you're looking for the software itself, login screens, reports, and exporting data, see our fulfilment software page. If you want detail on the physical storage your stock sits in, see our ecommerce storage or pallet storage pages.

How Storeship manages your stock

Every movement of your stock is recorded and reflected automatically: new deliveries arriving, items sold, orders returned, goods damaged, or stock dispatched all update your stock levels in real time, without manual input on your side. If ten units sell across Shopify, Amazon and eBay in an afternoon, your stock count reflects all ten straight away, not a batch update run at the end of the day.

Alongside this, we run ad hoc stock checks as needed, producing a full report covering past stock, new stock, and any discrepancies found. Every movement is logged, so if a number doesn't match what you expect, there's a record to check against rather than a guess. That matters more than it sounds: a spreadsheet or memory of "roughly how much stock there should be" isn't much use once a discrepancy actually shows up, whereas a full movement log lets you trace exactly where a count went wrong.

Reorder alerts

You can set reorder levels for your products, and our system sends an alert by email, SMS, or phone once stock reaches a low or critical level, so you're not caught out by a sudden run of sales. Having more than one alert channel matters in practice: an email can sit unread in a busy inbox, but a text or a call is harder to miss when a level's genuinely critical.

Deliveries, discrepancies, and returns

When a delivery arrives, our team checks it in manually and sends you electronic copies of the invoice and packing slip directly, so your own accounts stay up to date without extra admin on your end.

Returned stock, unclaimed goods, and faulty items are also handled as part of receiving your deliveries. See our returns management page for the full detail on how returns, restocking, and supplier returns are managed.

The software behind your stock control

Everything described above is visible in real time through Storeship's free control panel: stock levels, movement logs, and reports, all in one place, updated as changes happen. For the full list of what the software itself can do, see our fulfilment software page.

Where your stock is held

Inventory management applies to stock held anywhere in our network. For day-to-day ecommerce storage of individual items, see our ecommerce storage page. For bulk or palletised stock, see our pallet storage page. If you're a smaller seller weighing up outsourced fulfilment more generally, our small business fulfilment page covers that trade-off in more depth.

Frequently asked questions

How often are my stock levels updated?

In real time. Stock levels adjust automatically as goods arrive, sell, are returned, or are dispatched, with no manual input needed on your side.

What happens if there's a discrepancy in my stock count?

Ad hoc stock checks produce a full report covering past stock, new stock, and any discrepancies found, backed by complete movement logs. Where a discrepancy is confirmed, our team investigates and contacts you directly to establish the cause and agree a resolution, handled case by case rather than a fixed, one-size-fits-all process.

How do I know when a delivery has arrived and been checked in?

Our team checks in each delivery manually and sends you electronic copies of the invoice and packing slip directly, so you have a record as soon as it's received.

Is stock management included, or is there an extra charge?

Included as standard. There's no separate stock-management fee across any of Storeship's pricing plans.
